A 2017 1098-T form will be available to all eligible students on or about January 31, 2018 that can be used to compute eligibility for education tax credits or a tuition tax deduction.

Students may sign up year round for electronic delivery by logging into their student account in the Student Account Suite through KeanWISE by selecting “View/Pay My Bill.” Students must select “My Account,” then select “Consents and Agreements.” If you previously denied consent, click “View,” then “I agree.”

1098-T FREQUENTLY ASKED QUESTIONS

What is a 1098-T form?

The University is required to send you a 1098-T form so that you can use it to determine if you are eligible for either the American Opportunity Credit or the Lifetime Learning tax credit. To see if you qualify for the credit, consult with your Tax Advisor or visit www.irs.gov/1098t.  To view IRS FAQs you can enter “1098-T Questions” into the search box. 

When will I receive a 1098-T form?

The 2017 1098-T forms will be available on or about January 31, 2018. 

How do I access my 1098-T form?

Previously, students had the ability to access their tax forms directly from the home page without a Heartland ECSI profile. Students are still able to access their tax form without creating a profile by accessing the tax document lookup page here:

If the student would like to create a profile to access his or her tax document, the instructions to create a profile, as well as the student’s Heartland Key, are included in the email Heartland ECSI sends to a student when his or her tax statement is ready. We have included those instructions below for your reference.

You can access your 1098-T statement quickly and easily by visiting https://heartland.ecsi.net/ using one of the following methods:

If you already have a profile with Heartland ECSI, please sign in.  If you have not yet connected your tax statements to your account, you will need to connect them using your Heartland Key.  Simply click on the Connect An Account button and enter your tax statement Heartland Key.  The Heartland Key for your tax statements is XXXXX-XXXXXXXXXXXX.

If you have not registered for an account, click on the Sign In or Register button in the upper right side of the page.  Complete the registration section to create your profile and then connect your tax account by entering your Heartland Key.  The Heartland Key for your tax statements is XXXXX-XXXXXXXXXXXX

In the event that a student does not have the email containing their Heartland Key, he or she can simply contact our Customer Service Department at 866.428.1098 or via LiveChat from the Heartland ECSI student website. The student will need to provide basic information to authenticate his or her identity, and the Heartland Key will be provided.

You may also access your prior years' 1098-T forms online as well.

Why are there no payments listed in Box 1 of my 1098-T form?

IRS regulations specify: “Institutions may report either payments received during the calendar year in Box 1 or amounts billed during the calendar year in Box 2.” Kean University reports amounts billed in Box 2 so Box 1 is always empty. As a courtesy, Kean University provides an annual Account Statement that lists payments made by students to Kean during the preceding calendar year.  The Account Statement is posted online beneath the 1098-T form for the corresponding year and can be accessed as indicated above.

What Qualified Expenses are used to compute eligibility for a tax credit?

Box 2 on the 1098-T form contains qualified expenses that might be considered when doing your taxes.  The following chart displays the expenses that are considered qualified or non-qualified. You should consult your Tax Advisor or visit www.irs.gov/1098t for definitive clarification.

What if I think that the amounts on my 1098-T form are incorrect?

1) It might be a timing issue. A 1098-T form reflects only transactions that happened during the calendar tax year. If you registered in 2016, your registration charges were in Box 2 of your 2016 1098-T. If your scholarship/grant disbursed in 2017, it will be in Box 5 of your 2017 1098-T.

2) Due to timing issues, the registration charges in box 2 of your 1098-T form might be different from the amount you actually paid in that calendar year.

3) Loans are not included on a 1098-T, only grants and scholarships go into Box 5.

Below are some examples of timing issues:

EXAMPLE:   Mary registered in November 2016 for the Spring 2017 semester, so those registration charges were in Box 2 of her 2016 1098-T form. 

EXAMPLE:   John registered in November 2016 for the Winter Break 2017 term, so those registration charges will be in Box 2 of his 2016 1098-T form.

EXAMPLE: Mary registered in November 2016 for the Spring 2017 semester and those registration charges were in Box 2 of her 2016 1098-T form.  Her Spring 2017 Scholarship disbursed in February 2017, so it will be reflected in Box 5 of her 2017 1098-T form.

EXAMPLE:  George registered in November 2016 for 6 credits in the Spring 2017 semester, so those registration charges were in Box 2 of his 2016 1098-T form. In January 2017, George registered for 3 more credits for the Spring 2017 semester.  The registration charges for the 3 additional credits will be on his 2017 1098-T form. 

EXAMPLE:  Glenda registered for 6 credits in November 2016 for the Spring 2017 semester, so the registration charges for those 6 credits were in Box 2 of her 2016 1098-T form.  In January 2017, Glenda dropped one 3 credit class for the Spring 2017 semester.  The registration charges for the 3 dropped credits will be in Box 4 of her 2017 1098-T form as an adjustment/reduction to Box 2 of the 2016 1098-T form.

I graduated in June 2017.  Will I receive a 2017 1098-T form?

Yes.  If you registered for classes during 2017, you will generally receive a 1098-T form for that calendar year, even if you are no longer a student at the end of 2017.  If you do not receive a 2017 1098-T form, you can contact Student Accounting at 908-737-3240 after January 31, 2018.

I am a Non-Resident Alien (NRA) student. Will I receive a 1098-T form?

Kean does not file a 1098-T form for NRA students unless specifically requested by the student. If a NRA student wants a 1098-T form, they should complete Part 1 of to Form W-9S and the Student Request for 2017 Form 1098-T. Both forms should be submitted in person to the Office of Student Accounting on the third floor of the Administration building.

Why is there no social security number on my 1098-T form?

You did not have a valid social security number in Kean’s database.  Go to the Registrar with your social security card so that a valid SSN can be entered for you. Then visit the Student Accounting office on the third floor of the Administration building and submit the form Student Request for 2017 Form 1098-T
